Verifying Your Andar/360 Data

On a regular basis, such as monthly, we recommend doing a 3-way balance within Andar/360 to ensure reports are accurate:

  • Trial Balance Summary Report
  • DC Summary Management
  • Dashboard Campaign Summaries (or something that depends on the campaign structure, such as the Monitoring Report)

Be consistent in running the reports for All Campaigns or a single Campaign account.

Ideally, run the Reports after hours, or when you know pledges and designations for the selected year are not being updated.

Payer and Receipt Accounts

During transaction entry, 'Payer Account' and 'Receipt Account' are automatically populated based upon standard rules for the transaction type used and whether a payment is present. The 'Payer Account' may be changed to reflect that another account paid the pledge or that an account other than the 'Payer' should receive the tax receipt. The 'Payer Account' may be corrected on a transaction at any time, but there are limitations to when the 'Receipt Account' may be changed (based upon the receipting process.)

Special care must be taken to ensure that these transactions are properly handled, especially when a third-party processor is involved. Read more details in Customer Support.

Processing Disaster Relief Campaigns

There are multiple options available in Andar/360 and e-Community for processing disaster relief campaigns to help victims of earthquakes, fires, floods, hurricanes, tornados, and other misfortunes. Below are questions you should consider when deciding what setup option to use:

  • Do you want to count these funds in your Local/Annual campaign?
  • Will any of the funds come from workplace campaigns?
  • Do the funds need to be posted to different GL accounts?
  • Could you potentially be raising funds for more than one disaster at the same time?

Prevent Credit Card Fraud

If you have the Credit Card and ACH Processing module (CCAP), Andar/360 includes an optional feature called PCI Compliance that you can use. To enable PCI Compliance, you must also have a contract with CyberSource (a wholly-owned subsidiary of Visa). With PCI Compliance enabled, your donors' personal credit card information is more safely tucked away in CyberSource (instead of in Andar/360).

When choosing your settings in CyberSource's Business Center website, one of the options dictates whether or not you require matching the address that gets entered with the donor's payment against the bill-to address that is associated with the cardholder. It is possible to tell CyberSource to "Ignore Address Verification Results." (This is an option in the set up of the CyberSource Secure Acceptance Profile, and some customers have historically chosen this option because they thought they might not always have a valid address.)

Today's Safety Tip: It is safest NOT to ignore the address verification results. Instead, force/require the donor to provide the correct address of the cardholder. Further, it is also wise to Turn ON Andar/360's web option titled "Do Not Pre-Populate Address." While it requires additional typing by the online donor, it is undoubtedly a valuable option for the prevention of credit card fraud.

How to Create Tax Receipts for Donations Made in 2019

The months of January and February are a busy time for issuing annual tax receipts to donors. Many of you may also have payments that you want to enter into Andar/360 in such a way that the donor gets credit for having made the payment in December of the previous calendar year. To do this, you can modify settings in the 'Receipt Selection Date' field.

New in 2020.01: Export to the Financial Edge System

Version 2020.01 of Andar/360 contains enhancements to General Ledger reports.

The Andar/360 General Ledger Export process will produce comma-delimited files (CSV) that are formatted to be imported back into the Financial Edge system.

The CSV file will contain separate debit and credit amount columns. Each pledge, payment, and adjustment amount on an Andar/360 transaction will result in 2 rows in the CSV file for debit and credit entries.

Prevent Unnecessary Adjustment Transactions

After you close an envelope, if you discover the Processing, Fundraising, and/or Check-off Account is incorrect for whatever reason, you do not need to adjust out the transaction!

There are two menu items for making these updates post-close:

  1. Update Check-off Account – This feature is available to all customers, and enables you to update only one transaction at a time. Read more details on how to do this here.
  2. Update Processing/Fundraising/Check-off Accounts – This feature is only available to customers with the Standard-M module. With it, you can update all transactions in an envelope at one time or all transactions for a company. If you prefer, you can also update one transaction at a time. Find Out if Credit Cards Will Expire Soon

Your donors may have pre-authorized payments set up with you, but what do you do if their cards expire? You can avoid getting to that point by running a report that will tell you if pre-authorized payment donors have credit cards that are about to expire.

You can find the Andar Pre-Authorized Credit Card Payment Report under the Finance folder on the Andar Main Menu. On the submission window, select the billing date, for example, *2 Months after. Also, specify the next month as the Credit Card Expiry Date. The report will then list donors who have amounts due in two months but whose credit card will expire before then.
